1. Who We Are

Pipeline XOS (“Pipeline XOS”, “we”, “our”, “us”) is an AI-powered Relationship Operating System for outreach teams. We are operated by an independent developer. For any privacy-related enquiries, contact us at: hello@pipelinexos.com.

2. What Data We Collect

Account Data

When you register, we collect:

• Email address
• Display name
• Encrypted password (handled by Supabase Auth)

Prospect & Outreach Data

Data you enter about the people you are reaching out to:

• Twitter/LinkedIn/Reddit handles and profile information you manually enter
• Interaction logs (likes, comments, replies, DMs) that you manually record
• Notes and stage history

Important: Pipeline XOS does not automatically scrape or collect data from Twitter or any other platform. All prospect data is entered manually by you.

Usage Data

• Feature usage patterns (aggregated, not individual)
• Error logs for debugging

AI Usage Data

If you use the AI content generation features, your Google Gemini API key is stored encrypted in your user profile. Prompts and generated content are sent directly to Google's Gemini API. Pipeline XOS does not store the content of your AI-generated outputs beyond what you explicitly save.

3. How We Use Your Data

• To provide and operate the Pipeline XOS service
• To authenticate your account and enforce role-based access control
• To power AI features (relationship scoring, content generation) in future releases
• To send product update emails (only if you opt in)
• To investigate and fix bugs or security issues

We do not use your data for advertising. We do not sell your data to third parties.

4. Data Storage & Security

Pipeline XOS uses Supabase (hosted on AWS) for database and authentication. All data is encrypted at rest and in transit. Row-level security (RLS) ensures users can only access their own data.

The application is hosted on Vercel. We follow industry-standard security practices and regularly review access controls.

5. Data Sharing

We share data with the following third-party services solely to operate the product:

• Supabase — database, authentication, storage
• Vercel — application hosting
• Google Gemini API — AI content generation (only when you use AI features, using your own API key)

No other third parties receive your data.

6. Chrome Extension

The Pipeline XOS Chrome extension:

• Reads the current Twitter page you have open to extract profile information and tweet context
• Sends interaction logs to your Pipeline XOS account when you click to log them
• Never posts, likes, follows, or performs any automated action on your behalf
• Never stores data locally beyond your authentication session

7. Your Rights

You have the right to:

• Access all data we hold about you
• Export your prospect and interaction data via CSV at any time
• Delete your account and all associated data (via Settings → Delete Account)
• Correct any inaccurate account information

8. Data Retention

We retain your data as long as your account is active. Raw interaction data older than 90 days is aggregated into monthly summaries and the raw records are purged to keep our database lean. Aggregated summaries are retained for the lifetime of your account.

When you delete your account, all personally identifiable data is deleted within 30 days.

9. Cookies

Pipeline XOS uses session cookies only for authentication (managed by Supabase Auth). We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

10. Children's Privacy

Pipeline XOS is not intended for users under the age of 16. We do not knowingly collect data from minors. If you believe we have collected data from a minor, contact us immediately.

11. Changes to This Policy

We may update this policy as the product evolves. Significant changes will be communicated via email (if you have opted in) or in-app notification. Continued use of Pipeline XOS after changes constitutes acceptance.
